RailEurope offers a dedicated luggage transfer service for groups, providing door-to-door transportation of luggage. This service covers luggage collection from hotels, airports, or stations and delivery to the next destination, ensuring that your clients can travel hassle-free and with minimal effort.

- Convenient Door-to-Door Delivery: Luggage is picked up from a specified location (hotel, airport, or station) and delivered directly to the next destination.
- Efficient Service: Our service helps clients avoid the hassle of moving luggage around stations and on trains.
- Customs Clearance: We offer assistance with customs clearance for international journeys (UK-EU, CH-EU).
- Multiple Vehicle Options: Standard Sprinter vans accommodate up to 40 pieces of luggage, with larger vehicles available for bigger groups.
- Access City-Center Hotels: This service helps access city-center locations where coach access may be restricted.
How to Make a Request
Making a request for luggage transfer with RailEurope is simple. Please follow the steps below to get started:
1. Information Needed by the Client
To ensure a smooth booking process, we will require the following details:
- Tour Leader Information: Full name, phone number, and email address.
- Group Name: Identify the group for easy tracking.
- Collection Address: The exact hotel, station, or airport address (if unknown, city name is fine).
- Pick-up Date and Time: Provide the preferred date and time for luggage pick-up.
- Delivery Address: The exact destination address or station.
- Group Size: The number of people in your group.
- Luggage Details: The number of luggage pieces and a brief description (e.g., suitcases, ski equipment).
2. Making the Request – Rail Portal Request System
Once the required information is collected, you can begin the request process using our RailPortal. Here's what you need to do:
- Save and Continue: Enter all the relevant details into the Rail Portal system and click "Save".
- Trip Details: After saving, you’ll move to the next screen where you will confirm your trip details. Ensure the information is accurate before moving forward.
- Save & Continue: After confirming the details, you can move to Trip Summary where you’ll review everything before submitting the request.
3. Requesting a Quotation
Once the trip summary is reviewed, follow these steps to request a quotation:
- Fill in the Request: Provide the group details, pick-up, and delivery addresses.
- Send the Request: Once completed, send the request to RailEurope’s group department for processing.
- Receive a Quote: You’ll receive a quote based on the details provided. The quote includes pricing for standard routes, optional insurance, and additional services if needed.
- Confirm the Quote: Review the quotation and confirm if the client wishes to proceed.
4. Booking Process and Issuance
After confirming the quote, RailEurope will:
- Final Confirmation: Once everything is reviewed, RailEurope will ask for the necessary final details, such as tour leader information and customs forms for cross-border travel.
- Issuance: The booking will be processed, and a confirmation will be sent to you along with driver details and vehicle registration.
5. Pricing and Example Rates
Here are example rates for some common destinations based on the Sprinter van (standard capacity of 40 luggage pieces):
- London St Pancras to London Hotel: €224.00
- Paris CDG to Paris Centre: €476.00
- Amsterdam to Bruges: €571.20
- Paris Brussels: €688.80
- Paris Strasbourg: €800.80
Note: Prices vary based on luggage size and specific vehicle needs. Additional costs may apply for larger groups or special requests. This product is not commissionable.
6. Additional Notes
- Booking Terms: Make sure to confirm the booking at least 30 days in advance for guaranteed availability.
- Cancellations: Free cancellation up to 72 hours before collection. Charges apply if canceled later (50% charge for cancellations made within 72-48 hours, and 100% charge for cancellations within 48 hours).
- Customs Documentation: For cross-border travel, ensure that each customer completes and signs the customs declaration form if applicable.
