This document outlines the booking policies, ticketing methods, passenger categories, and sales conditions for Austrian Railways (ÖBB) and NightJet (NJ) trains, distributed through Rail Europe.

Ticketing Method
E-ticket (issued as a link) for all domestic Austrian trains + NightJet (NJ) trains. Group point-to-point ticket and seat reservation are 2 separate tickets.
Do not download as PDF — once downloaded, the ticket can no longer be modified.
E-tickets do not need to be exchanged for paper tickets.
E-tickets may be shown on an electronic device or printed.
The barcode/QR code must be clearly visible and scannable by the conductor.
Paper ticket: international trains from/to Austria:
- Germany
- Hungary
- Switzerland
Important: The conductor on the train needs to scan the code on the tickets – the quality needs to be that good.
This is a commissionable e-ticket that you can markup.
Price is printed on PDF and paper ticket in local currency.

Seat & Sleeper Conditions
- Day Trains :
- o Children under 6 travel free if sitting with a parent.
- o If a separate seat is required, a seat reservation fee must be paid.
- o Children aged 6–14 pay the reduced standard fare (~50%).
- NightJet (Overnight Trains) :
- o Children under 6 travel free if they share a couchette/sleeper with a parent/adult.
- o If a separate couchette/sleeper is required for the child, full child fare applies (same as child 6+).
- o Children aged 6–14 pay child fare for their own couchette/sleeper.
After Sales Conditions
Dependent on the fare type purchased (refund/exchange policies vary per fare rules).
Miscellaneous Information
Train charters available on request.
Pax lists (with first names, last names and dates of birth) are required for specific routes. You will be informed during the time of issuance.
OEBB AGE POLICY:

Availability: On popular trains, group space may be limited.
Ticket Type: Group travel is managed via a group ticket held by the group leader.
Travel Conditions: All group members must travel together on the same trains and in the same type/class of accommodation.

Once issued, tickets are neither exchangeable, nor refundable, nor modifiable

Miscellaneous information
Not commissionable paper tickets that you can markup despite the printed price. Price difference btw price charged to you and price printed on ticket is due to carrier's booking fees.
Age policy: Domestic trains & international trains: children under the age of 4 are free.
Children aged 4-11: child fare
Youth: only applicable to Polish schools.

They may be contacted in case of train changes, delays, cancellations, or meeting point updates.
Contact details can be changed up to 48 hours before departure—even if tickets are already issued. Updated contact name will be visible to station staff (but not on the ticket, issued 10 days before train’s departure date).
Q&A
I want to hold my TGV & TER tickets. Should I pay the entire amount?
According to SNCF sales policies, your TER ticket must be issued immediately. However, your TGV reservation can be held until the Ticketing Time Limit, provided it is aligned with the standard booking policies published in the Groups Conditions help article.
What happens if I create separate PNRs for TER and TGV reservations?
We will book your TGV INOUI trains in a separate PNR and provide a complete booking recap. At the same time, we will give you a quotation for your TER train. Later, when you decide to issue your TGV ticket, you can request issuance for your TER reservation.
Important: If the reservations are in different PNRs, your group will not be prioritized for reaccommodation in case of service disruption.
May I add or reduce passengers once the TER ticket has been issued?
Unfortunately, no. The number of passengers cannot be changed after the ticket has been issued
Can I reduce the number of passengers after ticket issuance?
For TER trains: Partial refunds are not possible. The entire booking must be canceled, even if combined with a TGV INOUI reservation.
For TGV INOUI: If the same PNR contains TGV tickets, we can partially reduce the number of participants according to standard policies.
I have already issued my TER + TGV INOUI reservations, but I want to keep my TGV INOUI only. Can I cancel my TER reservation?
Yes, you can cancel one of the trains according to the after-sales policies applicable by SNCF or regional authorities.
What are the after-sales policies for TER?
Each region in France has its own booking or after-sales policies. We strongly recommend checking the specific conditions in HelpScout.
I have a group of more than 60 passengers. Can you book them?
Due to regional limitations, the group fare threshold is capped at 60 passengers. It is not permitted to create an alternative PNR for the same group, as per the train company’s policies.

It's possible to proceed to purchase upon reception of your quote. This is called Instant purchase (availability and prices are subject to change). For groups of 10–25 passengers, instant purchase is required.
Ticketing Time Limit
Upon payment of the non-refundable deposit, your booking will remain valid until 30 days prior to the scheduled departure date. Failure to issue the ticket within this period will result in the automatic cancellation of your reservation.
How to Proceed If you agree to hold the seats? Please create a new itinerary within the same case to invoice the deposit. Alternatively, we can provide a quotation and proceed with an instant purchase.
Please note that in this case, no seats will be held, and both availability and prices will be subject to change at the time of booking.
NB: for groups of 10–25 passengers, the process is the same and also requires immediate purchase. This procedure is now permanent, and we kindly ask you to take these requirements into account when planning and confirming group travel.
• After payment of the deposit, bookings remain active until 30 days before departure. You’ll need to duplicate the itinerary in the same case when you’re ready to invoice the remaining balance. • If tickets have not been issued 30 days before departure, the reservation will be cancelled automatically.

FAQ
1. To hold the space, we must pay for 2 tickets, which are not refundable. How many days after we make the booking must we pay?
Yes, you will need to pay a deposit equivalent to two tickets, which is non-refundable. The quote for groups of more than 26 people is valid for 7 days. Within these 7 days, the deposit must be paid; otherwise, once the 7-day deadline passes, the quote will become invalid. Please also note that RENFE counts the 7-day period by calendar date, not by the departure time.
2. In case the group is cancelled, or the number of passengers is reduced and goes below 26 pax, are we going to lose the 2 guaranteed tickets paid?
Yes, in this case, the deposit (equivalent to two tickets) will be forfeited.
3. If the group size drops below 26 passengers, do we need to cancel the current booking and rebook with an instant purchase, even though this may risk losing the seats and result in higher prices?
If the group size drops below 26 passengers, the booking must be converted to the instant purchase process. In this case, the previously reserved seats and the deposit for the two tickets will be lost, and prices will be recalculated based on instant purchase rates.
4. Regarding the booking fee, would we have to pay it twice in this case?
The booking fee will be paid only once, as you will only be creating an additional itinerary within the same booking, not a separate case. Therefore, the booking fee will remain unchanged.
5. Will departures already on hold under the old policy be affected by the new procedure?
No, departures already on hold under the previous policy will remain unchanged—no action is needed for those.
6. Which bookings will follow the new policy?
Any new departure bookings booked under the guaranteed tickets policy will be subject to the updated procedure. If a case has been created but you haven’t yet received the quotation or the seats aren’t on hold, these will also follow the new policy.

Group Conditions
- Luggage Policy:

- o Clients and tour leaders must be informed of the weight limit.
- Hotel Coordination:
- o Provide the group name as known by the hotel.
- o If the group is not present during pick-up or delivery:
- § The hotel must be informed by the GSA or Tour Leader about the scheduled pick-up or delivery.
- Pick-Up Process:
- o Luggage must be ready at reception between 7:00 AM and 9:00 AM (as per order confirmation).
- o Same-day delivery option:
- § Luggage may be consigned at the SBB counter at Zurich Airport by 12:30 PM (latest landing: 11:30 AM).
- o Important:
- § If luggage is not ready at the agreed time:
- SBB may charge for waiting time, additional trips, or refuse the transport.
- On-time delivery is not guaranteed in such cases.
- Delivery Information:
- o Delivery by 7:00 PM (or 7:30 PM for Zermatt).
- o Exact delivery time is stated in the order confirmation.
